Studio appointments & private wedding pages

Privacy notice

This notice explains how the studio uses appointment, callback and invitation-only wedding-page information, alongside its limited Google Calendar connection.

Linked appointment synchronization Role-scoped staff & invited guest access No advertising or data sales

Invitation-only wedding pages and photographs

A shared party link or QR opens the wedding welcome page and access request only. It never shows wedding-crew photographs. Personal member and groom links are separate; protect them like a password. Only a personal link whose current saved roster role is Groom, Groomsman or Best man can open the studio-approved crew album. The studio can revoke links or disable the page.

Members may submit their own height and weight, fitting requests and questions. Self-reported height and weight are separate from Edwing's verified tailoring measurements. Other members cannot see these private details or conversations. A groom with separately authorized access may see party members' fitting and collection progress, not their private messages, contacts, exact appointment details, measurements, prices or studio notes.

Photo uploads require permission to share the people pictured with the groom and groomsmen using their private links. Photos are optimized for the crew album and location metadata is removed before storage; the original on your device is unchanged. New photos remain private to the eligible crew uploader and studio until approved. Approved photographs can be viewed only through verified personal Groom, Groomsman or Best man links for that wedding and are never exposed through a generic member link or the shared Party QR. Crew photographs are stored separately from private posture and measurement photographs. Private-group sharing does not prevent an authorized viewer from copying a visible photograph.

Contact the studio to request a correction, link revocation or withdrawal of a photograph from the private crew album. Studio work, messages and audit history are retained separately from album visibility; hiding or filing an item does not erase that history.

Booking and callback requests

A private callback link offers either the existing appointment-booking page or a callback request to the number used for the original call. Optional preferred callback times and notes are visible to authorized studio staff, not other clients. A callback or fitting request is not a confirmed appointment. The studio reviews requests before confirming arrangements. Following a newly verified missed incoming call, the studio may automatically text one booking/callback link. Calls with an appointment today or upcoming, uncertain/shared contacts, opt-outs, incomplete call reports and recent repeat invitations are excluded. Uncertain provider outcomes are not automatically retried. Staff can pause this category; wedding greetings and other ordinary follow-ups still require staff review.

What this calendar connection does

EJS Studio CRM is an internal business system operated for Edwing Joseph & Sons. With the Google account owner's approval, it displays selected Google Calendar events and synchronizes linked client appointments with a writable business calendar.

Google information we access

  • The connected Google account email, calendar names and calendar identifiers.
  • Event details from calendars selected by an authorized owner: title, description, location, start and end time, all-day status, event status, attendee email addresses, Google event link, and provider update time.
  • OAuth access and refresh tokens needed to maintain the approved connection. These tokens are encrypted at rest.

How the information is used

  • To display selected Google Calendar events to authenticated, authorized studio staff inside EJS Studio CRM.
  • To let staff with appointment-editing permission update the title, notes, location, start, or end of an event on a Google calendar where the connected account is an owner or writer.
  • To refresh the calendar view and report whether the connection needs attention.
  • To keep linked client appointments aligned in both systems while leaving unrelated Google events calendar-only. A single exact active-client phone found in an appointment description may link that appointment automatically; shared phones and conflicts remain for staff review. For an unmatched client appointment, authorized staff may review an unambiguous phone number from the event description or external attendee email, check it for duplicates, and explicitly create and link a Client Book record. The CRM never creates the client automatically.

Linked appointment synchronization

The connection requests Google Calendar event access plus calendar-list read access. The CRM may create, update, or delete the Google event linked to a client appointment, and changes to that linked Google event may update the CRM appointment. Deleting a linked Google event cancels the CRM appointment but preserves its history; deleting the CRM appointment removes its linked Google event. Calendar synchronization does not accept or decline invitations, turn unrelated events into clients, or send attendee notifications.

Appointment email and text reminders

For confirmed appointments, the studio requests attendance confirmation at 9 AM Eastern on the calendar day before the visit. The reminder is sent by SMS and email when both are on the Client Book record, or through the available channel when only one is present. A clear YES or NO reply through either connected channel updates the same appointment; email also includes a secure response button. A clear affirmative reply receives an automatic thank-you by text when a phone is available, otherwise by email. If unanswered, the 4 PM warning and guarded 10 PM release remain SMS-only. Automatic cancellation requires both texts to have delivery confirmation, both reply receivers to be healthy when email was also used, and the appointment details to remain unchanged. Unclear replies, delivery problems, late bookings and staff holds require staff review instead. NO offers a secure scheduling link through the available channels; the original time stays in place until the client submits a new time, which requires studio approval. Phone numbers, email addresses, message text and delivery identifiers are processed by GoTo and Hover and retained in private communication history. Measurements are never included. Garment-stage updates are not sent automatically.

Storage, sharing, and retention

  • Calendar copies and connection settings are stored in the hosted CRM and are available only through authenticated staff access.
  • Google information is not sold, used for advertising, or shared with unrelated third parties. Hosting and infrastructure providers process it only to operate the CRM.
  • Imported events are refreshed for the active calendar window. The Google account owner may revoke access from Google at any time, and stored calendar copies can be removed after a verified request.

Google API Services User Data Policy

EJS Studio CRM's use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
